A stage backdrop is the one printed item that appears in almost every photograph of an event. When it has to be replaced at short notice, the reason is usually one of a few: the shipped backdrop arrives torn or creased, a sponsor line-up changes after the artwork was approved, or a glossy material reflects the stage lights straight into the cameras.

A replacement has to fit a frame that is already standing, so the useful work happens before anything is printed: measuring, choosing the material and preparing the file at the right scale. This guide walks through those decisions. For layout planning on a backdrop that is not urgent, see the backdrop layout planning guide.

Which Materials Are Used for Replacement Stage Backdrops?

Most stage backdrops are printed on tensioned fabric, on PVC banner material, or as rigid panels fixed to a frame. Fabric gives a matt finish that does not throw back camera flash. PVC suits hung banners and outdoor stages. Rigid panels suit media walls and photo areas. The frame already on stage usually decides which of the three you need.

Tensioned fabric. Fabric is the usual choice indoors because its matt surface does not reflect stage lighting or flash the way a glossy surface can. It is stretched over a frame, so creases from folding tend to pull out once it is tensioned. Fabric graphics are finished to suit the frame: a silicone edge strip for an SEG frame, pole pockets for a pipe frame, or hook-and-loop tape for a pop-up frame.

PVC banner material. PVC is used for hung banners, truss-mounted graphics and outdoor stages. It is finished with hems and eyelets so it can be tied or bungeed to the frame. A blockout grade stops light behind the stage from showing through. PVC is normally rolled rather than folded, because folding can leave lasting creases.

Rigid panels. Printed boards fixed to a timber or modular frame give a flat surface for step-and-repeat media walls and photo points. Panels are joined edge to edge, so artwork has to allow for the joins.

The backdrops page explains how backdrop sizes are quoted, and the banners page covers PVC and fabric banners in more detail.

How Should Artwork for a Large Backdrop Be Prepared?

Build the artwork to scale rather than at full size: a 6,000 × 3,000 mm backdrop becomes a 600 × 300 mm page at 1:10. Multiply the resolution you need by ten, keep logos and text as vectors, and add the bleed or wrap allowance for the frame. Ask for the frame's template before you start rather than guessing the allowance.

Full-size files for a stage-width graphic are slow to handle and easy to corrupt. Working to scale avoids that:

  1. Scale. At 1:10, every millimetre on the page is ten millimetres on stage. State the scale in the file name and in the brief so nobody prints it at the page size.
  2. Resolution. For a large graphic seen from several metres, about 100 dpi at full size is a common working figure, which means about 1,000 dpi for photographs placed at 1:10. Logos and text should stay as vectors so they stay sharp at any size.
  3. Bleed and wrap. A tensioned fabric graphic, a hemmed banner and a panel that wraps a timber edge each need a different allowance. Ask for the frame’s template, or measure the frame and say how the graphic attaches.
  4. Where the important content goes. Lecterns, presenters and stage furniture hide the lower part of a backdrop. Keep event titles and sponsor logos in the upper part of the design.
  5. Brand colours. Give CMYK values for brand colours, and say if a colour is critical so it can be discussed before printing.

How Do You Make Sure a Replacement Fits the Frame on Stage?

Measure the frame that is standing, not the drawing it was built from, and note how the old graphic was attached. Give the visible width and height, the attachment method and the frame type in the brief. A graphic printed to the wrong size or with the wrong edge finish cannot be hung, however good the print is.

The common frame types and what to tell the printer:

Frame type Where it is common How the graphic attaches What to confirm in the brief
Aluminium truss Ballrooms and plenary halls Eyelets with bungees or ties Eyelet spacing and graphic size
Pop-up frame Seminars and foyers Hook-and-loop tape or magnets Frame model and panel count
SEG frame Exhibition stands Silicone edge strip in a channel Channel profile and inner size
Timber flats Built stage sets Panels or graphics fixed to the face Panel joins and edge wrap

This guide covers the printed graphic only. Confirm with your stage contractor or the venue who will hang or fix the replacement, and when they can do it. For other items an event may need at short notice, see the guide to emergency event and exhibition printing.

How Does a Large Backdrop Reach the Venue?

Island-wide courier delivery is available, and delivery is confirmed separately from production in the quotation. Say in the brief how long the rolled or packed backdrop will be, so a suitable vehicle can be arranged. Confirm the delivery point and contact with the venue or organiser, because venues control when and where event deliveries can be received.

  • Packing. PVC graphics are usually rolled around a core with the print facing out. Fabric can be folded and packed in a bag. Rigid panels need to be packed flat with their edges protected.
  • The handover. Give the courier one named contact and a mobile number, and pass on the venue’s delivery instructions.
  • Collection. You can also collect it yourself. Collection by arrangement — tell us when you would like to collect and we will confirm the time. A long roll needs a vehicle that can carry it.

Worked Example: Replacing a Damaged Gala Dinner Backdrop

Hypothetical illustration. Figures are assumptions for explanation, not a real transaction or advice. During set-up for a gala dinner, the crew finds the shipped backdrop torn across the middle. The example follows the decisions the organiser makes in order: measure, choose the material, prepare the file, send the brief and arrange the handover.

Step 1: Measure what is standing. The production manager measures the truss: 6,000 mm wide by 3,000 mm high visible area, with the old banner tied on with bungees through eyelets.

Step 2: Choose the material. The room has strong stage lighting and the event will be photographed, so the manager asks about a matt finish. Because the frame takes eyelets, the brief asks for a matt blockout PVC banner with hemmed edges and eyelets, and asks what eyelet spacing is recommended.

Step 3: Prepare the file. The designer reopens the master artwork, checks that sponsor logos are vectors and exports a 1:10 PDF at 600 × 300 mm, with the scale written in the file name.

Step 4: Send the brief. The manager fills in the quote builder with the size, material, finishing and required date, and sends it with the PDF by WhatsApp. Artwork, stock and capacity are confirmed against the specification. Timing is agreed when the job is confirmed.

Step 5: Arrange the handover. The manager confirms the delivery point and contact with the venue or organiser, gives the rolled length for the vehicle, and books the stage crew to hang the replacement once it arrives.

Frequently Asked Questions

Is same-day printing available for a replacement stage backdrop?

Same-day and urgent printing available. Subject to artwork approval, payment, print type and production availability. Timing confirmed per job. Standard turnaround is 7–14 working days. Size, material, finishing and file readiness all affect whether a backdrop fits a short schedule.

Should I choose fabric or PVC for an indoor event?

Fabric is usually the better choice indoors when the event will be photographed or filmed, because its matt surface does not reflect lighting the way a glossy surface does. PVC suits hung banners, outdoor stages and frames built for eyelets.

How do I stop logos looking blurred on a large backdrop?

Supply logos and text as vectors (a vector PDF, EPS or AI file). For photographs, check the effective resolution at full size; a file built at 1:10 needs ten times the resolution you want on stage.

Can I collect the backdrop instead of having it delivered?

Yes. Collection by arrangement — tell us when you would like to collect and we will confirm the time. Tell us the size when you arrange it, because a rolled backdrop needs a vehicle long enough to carry it.

What if the backdrop is wider than one printed piece?

Large backdrops can be made from more than one piece. Ask when you send the brief, and say whether a join in the graphic matters for your design so the panels can be planned around it.

What Should Be Checked Before Ordering a Replacement Backdrop?

Before ordering a replacement backdrop, confirm the frame type and visible size, how the graphic attaches, the material, the scale and resolution of the file, and the handover details. Most delays on urgent backdrops come from a missing measurement or an unclear attachment method, so settle those first and send them in a single message.

  • Frame type confirmed: truss, pop-up, SEG or timber flats.
  • Visible width and height measured on the standing frame.
  • Attachment method noted: eyelets, edge strip, tape or panels.
  • Material chosen for the lighting: fabric or matt PVC.
  • File built to a stated scale with vector logos and the frame’s bleed or wrap.
  • Delivery point and on-site contact confirmed, and who hangs the backdrop.
