Suntec Singapore Convention & Exhibition Centre hosts trade fairs, congresses and corporate events through the year, and the offices around Suntec City run on the same calendar. Print needs there tend to arrive late: a shipment of brochures is held up, more visitors register than planned, or a presentation changes after the handouts were approved.

This guide covers what to send for an urgent print job, which products suit a short schedule and which need standard planning, and how finished work reaches you by courier or by collection. Suntec is named here only as a location. EZ Print is not affiliated with the venue or its organisers. For booth graphics and shell-scheme displays, see the Suntec City event printing guide.

What Files Should Suntec Exhibitors Send for an Urgent Print Job?

Send a print-ready PDF at the finished size with 3 mm bleed on every edge, images at about 300 dpi at final size, colours in CMYK and fonts embedded or outlined. Keep text at least 4 mm inside the trim line. A file that is ready to print removes the most common reason an urgent job waits for a reply.

Artwork is checked before production. When a file arrives with low-resolution images, RGB colours or missing fonts, the job pauses until a corrected file comes back, and on a short schedule that pause is often the difference between making a date and missing it. Before you send anything, run through these points:

  1. Export a print PDF. Use your layout program’s print preset, such as PDF/X-1a or PDF/X-4 where it offers one. These presets embed fonts and keep the page at its finished size.
  2. Add 3 mm bleed. Background colour and images should run 3 mm past the trim line on all four sides. An A4 flyer (210 × 297 mm) becomes a 216 × 303 mm page with bleed.
  3. Embed or outline fonts. Embedded fonts usually print correctly. Outlining text removes any doubt when a file has passed through several people.
  4. Convert to CMYK. Bright screen blues and greens can look duller in print. Converting before export lets you see the change and adjust it yourself.

When the file is ready, build the brief with the request a quote form and send it with the artwork attached by WhatsApp or email.

Which Print Products Suit an Urgent Schedule?

Simple jobs suit a short schedule best: flat flyers, name cards, short saddle-stitched programmes, handouts and mounted posters, printed on common stocks with plain trimming. Foil, spot UV, embossing, custom die-cutting and hardcover binding need extra steps and tooling, so plan those on the standard schedule. Availability is confirmed for each job.

No product is automatically eligible for a same-day schedule. What decides it is the specification: quantity, stock, finishing and whether the artwork is ready. The table shows how the usual exhibitor items tend to fall.

Item Typical specification Finishing Planning note
A5 flyer 157 gsm gloss art paper Trimmed Ask about a same-day schedule
Name cards 310 gsm art card Matt lamination Ask about a same-day schedule
16-page programme 128 gsm text, 250 gsm cover Saddle-stitched Ask about a same-day schedule
Mounted poster Poster on 5 mm foam board Mounted and trimmed Ask about a same-day schedule
Die-cut folder 350 gsm art card Custom die, creased Plan on the standard schedule

Flat flyers are usually the simplest item to bring forward. A booklet adds folding and stitching, and lamination adds a step after printing, so each extra process narrows what can be fitted into a short window. Same-day and urgent printing available. Subject to artwork approval, payment, print type and production availability. Timing confirmed per job.

Anything that needs a die or a plate is better planned ahead. Standard turnaround is 7–14 working days. The full product range is on the printing services page. For express schedules, review our same-day printing guide.

How Does Collection by Arrangement Work?

Collection is arranged in advance rather than by dropping in. The collection point is at Centennial Tower on Temasek Avenue. Collection by arrangement — tell us when you would like to collect and we will confirm the time. There is no shop counter and no self-service printing, so every order starts with a brief.

A few practical points:

  • Arrange it first. Tell us when you would like to collect when you confirm the order, and the time is confirmed with you.
  • Sending someone else. If a colleague or your own courier will collect, give their name and contact number when you arrange it.
  • Large items. Mounted boards and long cartons need a suitable vehicle, so mention the size when you plan the collection.

How Does Courier Delivery to a Suntec Event Work?

Island-wide courier delivery is available, and delivery is confirmed separately from production in the quotation. For an event, give the recipient's name and mobile number, the event name and your stand number. Confirm the delivery point and contact with the venue or organiser, because each event sets its own rules for deliveries during build-up and show days.

Deliveries to an exhibition go most smoothly when the courier has one named person to hand over to:

  1. One recipient. Name one person at the stand who will answer the phone and meet the courier.
  2. The handover point. Ask the organiser where deliveries for exhibitors are received, and pass that instruction on with your order.
  3. Packing. Say if the cartons need to stay small enough to carry through a busy hall, or if items should be packed in counted bundles.

Worked Example: Reprinting Product Sheets During a Suntec Exhibition

Hypothetical illustration. Figures are assumptions for explanation, not a real transaction or advice. An exhibitor at a Suntec trade event runs low on product sheets on the first day. The example follows the decisions the exhibitor makes in order: what to reprint, how to check the file, what to send and how to receive the reprint.

Step 1: Decide what to reprint. The marketing coordinator keeps the specification simple so it has a better chance of fitting a short schedule: A5 double-sided flyer, 157 gsm gloss art paper, trimmed, 500 copies. No lamination and no folding.

Step 2: Check the file. The coordinator opens the print PDF and confirms it is 154 × 216 mm including bleed, that the images are sharp at full size and that the text sits at least 4 mm inside the trim.

Step 3: Send the brief. The coordinator fills in the quote builder with the specification, the quantity and the required date, then sends the brief with the PDF by WhatsApp. The message names the stand contact and asks for delivery to the event.

Step 4: Confirm the schedule. Artwork, stock and capacity are confirmed against the specification. Timing is agreed when the job is confirmed.

Step 5: Receive the reprint. The coordinator confirms the delivery point and contact with the venue or organiser and passes them on. The stand contact meets the courier and restocks the stand.

Frequently Asked Questions

Can I drop by Centennial Tower to print documents?

No. EZ Print does not run a copy shop, a public counter or self-service printers. Send the brief and print-ready artwork by WhatsApp or email first. Collection by arrangement — tell us when you would like to collect and we will confirm the time.

What is the difference between standard and same-day turnaround?

Standard turnaround is 7–14 working days. Same-day and urgent printing available. Subject to artwork approval, payment, print type and production availability. Timing confirmed per job. Whether a particular job fits depends on its specification and on the artwork being ready.

Can foil stamping or spot UV be done on an urgent schedule?

These finishes need tooling and extra production steps, so plan them on the standard schedule. If your date is close, ask whether a printed version without the special finish would work for this event.

How should I export a file from an online design tool?

Choose the print PDF option, turn on crop marks and bleed, and check the page size before you download. Then open the PDF and confirm that text and logos sit at least 4 mm inside the trim line.

How do finished jobs reach Suntec City?

Island-wide courier delivery is available to an event, an office or a hotel. Confirm the delivery point and contact with the venue or organiser. You can also arrange collection at Centennial Tower.

What Should Exhibitors Check Before Sending an Urgent Brief?

Before sending an urgent brief, check the file, the specification and the handover. The file needs bleed, sharp images, CMYK colour and safe margins. The specification should stay simple. The handover needs one named contact and a confirmed delivery point. Each item you settle beforehand is one less question to answer once the job is booked.

  • Print PDF at finished size with 3 mm bleed on all edges.
  • Images about 300 dpi at final size; colours in CMYK.
  • Fonts embedded or outlined; text 4 mm inside the trim.
  • Specification kept simple: common stock, plain trimming.
  • Recipient name, mobile number and stand number ready.
  • Delivery point confirmed with the venue or organiser, or collection arranged.
